    There are some Best-Practices that we have become aware of, as we have helped hundreds of businesses implement the online booking system and seen what works and what does not work.Try to stop your customers having to jump around your website for the information they need before making a booking.
    You can achieve this by having ALL the following information ON ONE PAGE for each product/service:

  • Describe the product – choose your words with care – your words are what describes what is great about your offerings
  •  

  • Pictures – show some GOOD pictures of what they are renting on the page – don’t force them to some other page to see the pictures
  •  

  • Prices – Tell them the prices on the same page – again, don’t force them to some other page
  •  

  • WebReserv Reservations Calendar – paste it directly into this page – again, don’t force them to some other page
  • Keep updating information regarding your products on your webpage(s)
    Every time you receive a call or an email for more information, ask yourself “How can I add this information on the web page for this product so I don’t have to keep answering it?”

  • This is an ongoing task – but doing it should get reduce the number of questions you receive.

  • Remember – If all a customers questions are answered on your website, then they will most likely book with you
  • Use Discount codes
    Use the discount codes in the WebReserv Booking System (back-office) in conjuncture with email campaigns to previous customers.

    You like being booked far in advance, and discount codes are a great way to achieve this.

    Offer a discount for online-bookings
    If you are not getting enough online bookings, even after doing all we have said in the checklist, then you may want to offer, for example, a 5 euro discount for online bookings.

    Create Facebook, twitter or any other net-work account(s)
    It’s a great way of staying in contact with your previous customers, they can link to you, even add pictures etc.

    It’s a great free advertising opportunity for you.

    You can even have a link to your website from face book, and your booking system webpages.

    Turn down your advertising as you receive more bookings through your own website
    You probably advertise with several websites where it costs either cash up-front or a high commission.

    If you are using booking portals such as bookings.com, etc, then remember you are paying a high advertising cost (8%->20%) while at the same time promoting their business more than your own.

    If you create yourself a good Internet presence by doing all the items on the checklist, you should be able to slowly stop using these expensive advertising channels.

    On top of that, these channels often are a pain to keep updated on availability.

    Partner with local businesses that are not competitive.
    The WebReserv Reservation Calendar can be placed on any website, not just your own.

    So, for example, if your business is providing horse riding sessions, why not speak to some local accommodation places, hotels, hostels, etc and ask them if they want to add a “horse Riding” page to their website for a small commission you give them.

    WebReserv in multiple languages

    The WebReserv system was originally developed in the USA, and has now been launched in Europe.

    During the last months, we have been in the process of the following tasks:
    – Translating the booking components so that they work in multiple langauges
    – Translating the website in general to be presented in multiple languages
    – Translating the back-office to multiple languages

    Our first task was to translate the online booking/reservation calendar that our customers use on their own websites to receive bookings.
    This task involved not only translations of the booking component, but also currency handling improvements, and translations of our email templates.
    This task has now been 100% completed for English(UK), Spanish and French, and is nearly completed for German and Danish.

    Our second task is the translation of the WebReserv.eu website, which has been completed in English(UK), Spanish and French, and is still ongoing in German and Danish.

    Our last task is to translate the backoffice, which currently runs in English(UK), Spanish and French, and is still being translated into German and Danish.

    As we progress, we will continue to translate the system into all the European languages, with the booking component as the highest priority as that is what our customers demand.

    The booking calendar is a plug-in component from WebReserv.eu that allows you to take reservations/bookings directly from your existing website or websites. The booking calendar has all the functionality needed for a customer to complete the booking process online:

    The booking calendar is most often used together with the business listing on WebReserv.eu. Having your business listed multiple places greatly enhances visibility to the marketplace and helps you to get more customers.

    The booking calendar can also be used for businesses that do not need a business listing on WebReserv.eu. For more information about this usage, please contact your WebReserv Support team.

    Configuring the online booking calendar

    To add the booking calendar to your website, log on to your WebReserv account and go to Website – Booking Calendar.

    On the booking calendar page you can specify how the booking calendar will look on your website. The different options are detailed below.

    Style: Specifies how you want the booking calendar to appear on your website. You can choose between Link (default), Embedded or Button. The Link and Embedded options are the two most popular methods. With the link method, you’ll get a link that you can add to your existing website. When a user clicks the link on your website, the user will be forwarded to the booking calendar where the availability can be viewed and reservation(s) can be made. The button works in the same way, except that the user will see a booking button instead of a booking link.

    The embedded option is slightly different. With the embedded option, the user will stay on your website, but will see the booking calendar inside your website. There is also a difference in what is shown in the booking calendar: when the booking calendar is opened with a button or a link, it will have a header with your business name, address, contact information and a link back to the website. The embedded calendar does not show the business information as this information usually is shown on the website.

    Include Search Dates: If this option (and include listing) is set to yes, the customer will be able to search for a specific date range to view availability and rates across all your products.

    Note: Include search dates has no effect if include listing is set to no.

    Include Listing: If this option is set to yes, the customer will see a list of all products/units. If it is set to no, the booking calendar will not show a list of products, but will instead show a detailed reservation calendar.

    Preview

    After selecting the style of your booking calendar, click the preview button and a preview will be shown on the right side of the screen. If necessary, you can change the options and click preview again to see how different settings affect the booking calendar.

    Customizing booking calendar colors

    In many cases you’ll want to have a booking calendar that uses the same colors as your website. To customize the colors, select no to Use standard colors.

    You can customize three types of colors in the booking calendar: the text color, the background color and the border color. To change a color, simply click the corresponding color field and pick the color from the color selector. If you know the RGB code (hex) you can also enter this directly in the color field.

    After changing the colors, simply click the preview button again to refresh the preview on the right side.

    When you are done customizing the booking calendar, copy the HTML code from the code window on the left side of the screen and paste the HTML code into your website editor at the place where you want the link, button or calendar.

    The Bits and Bytes of Boat rentals

    Bits and Bytes and Boats! What in the world is he on about?

    Well, there actually is relevance between bits and bytes and boat rentals these days.
    Studies show that more and more yacht/boat/charter rentals are being done online.

    Historically, it was easier to run a charter/boat rental company.
    The basics of the business were pretty well understood.
    You needed some boats to rent out, a place to keep them, insurance for your boats, you needed to ensure the renters (or at least have a waiver), and you needed to advertise – usually done via the telephone book, some signs, and very often via word of mouth.

    The world today has changed a lot, due to the Internet.

    When I grew up, we always went to one of either two spots for our vacation.
    As we loved being on the sea, we nearly always rented a boat for either an hour, a day or sometimes for several days.
    So how did we find the boat rental company?
    Well, we usually went to the harbour/wharf/port and looked for the signs, sometimes we also looked in the telephone book, and other times, we went where someone told us to go.

    Boom, the Internet arrives, and now when I need to rent a boat, where do I go? The Harbour? Of course not, I go online and search for the boat I want, and why not?
    I can see the pictures of the boats, I can read about the boat, I can read reviews about the rental company, and most importantly of all, I can book and confirm my boat rental directly over the internet. Tap Tap Tap, my keyboard makes me King!

    The market is changing so much, that many boat rental companies now report that over 25% of their rentals are now made over the internet in some manner, either through email, booking “forms”, or full fledged online booking systems that boat rental businesses can use.

    So if it there wasn’t already enough for a boat rental business owner to do, you also now have to, have a website, handle bookings via a new channel, and make sure your business is still streamlined and profitable.

    So what options are out there for the boat rental companies, and what does a boat rental company need to be up-to-date, streamlined and profitable.

    I have listed what you should look for when you are looking for a solution.
    1. Make sure the system handles your company size
    a. You don’t need a system to handle thousands of boats; you need something to handle 1, 5 or 100 boats depending on the size of your business.
    2. Make sure the system can handle all types of bookings, both online, and manually entered by you.
    a. The solution you choose must, via its management tool, allow you to handle bookings via normal email and via the phone and walk-ins, so make sure the system can do this.
    3. Make sure the system manages inventory (your boats)
    a. As you now have to be on the Internet, make sure you are getting its benefits. One of the great benefits is that a good reservation system will “know” what boats you have, and “when” they are rented out. Make sure you don’t choose some system that simply emails you bookings, this leaves you needing to still check availability. This is really important – it means you will no longer need some paper book or excel spreadsheet to keep track of bookings.
    4. Make sure the system can handle some form of Credit Card processing
    a. It is very common to confirm a booking with credit card details. This covers you in the case of no-shows etc.
    NOTE: Be aware, you may not need a merchant account – many companies use a system that records the credit card details, but allows you to charge the cards in the usual way, saving some of the Merchant Account costs associated with receiving payments over the Internet.
    5. Make sure the system has reports
    a. Another benefit of moving to a “system” is reports. The reports that should be available to you are:
    i. Rentals for a day or period
    ii. Customer lists (can be used for email campaigns after)
    iii. Other exist, but these ones are important
    6. Micro-Site
    a. Make sure your system provider also provides you with a micro-site, and the micro-site should also handle bookings to your products. A micro-site should be a web page or multiple web pages about your business on the providers website. This has two advantages:
    i. If you don’t have your own website, the micro-site can be used as your website URL (link) on your business cards, signs, etc
    ii. The providers website can provide you more bookings. Note: Some providers take a commission for bookings done through their website – be aware of this hidden “cost”. (WebReserv.eu does not)
    7. Booking Component
    a. The provider of your system MUST include a form of booking component you can use on your own website. Do not go for a system that sends you an email, even if the booking form looks great. This will simply leave you the work of still checking availability, confirming the bookings, etc. A good booking component does the following:
    i. Is connected with the system and only allows bookings when a product is available – this must work in “Real Time”, meaning as soon as a booking is made, either manually through the management tool, or through the website booking component, then the product must be marked as booked everywhere.
    ii. Can run with either auto-confirm or manual confirm for you in the management part. There is no need to manually confirm a booking if the system you choose knows what is available or already booked. This is a way the Internet can save you a LOT of time.
    iii. Handle your changing rates over high, low, medium seasons etc
    iv. Handle special seasonal prices
    v. Handle discount codes (Becomes a good marketing tool)
    vi. Can be placed easily on your website, or any other friendly websites you want to put your booking component on
    vii. Allows you to manually mark a product as “unavailable”, this is important if/when you want to use it yourself, or it is unavailable due to maintenance, etc
    8. Sends booking email to you
    a. Even though the booking system is fully automated, you still want the system to send you an email when a booking is automatically made over the Internet. This is not so important if you are renting out boats every single day, and are always therefore logged into your booking system, but if you only receive bookings infrequently, then you want to be informed about it.
    9. Easy to use
    a. The solution should be easy to use, as you don’t want to need a computer science degree to use it.
    10. Dynamic
    a. Make sure the system works for YOUR needs – you are looking for a system that supports YOUR business, and doesn’t force you into processes, methods, prices, deposits, etc that are not of benefit to you.
    11. Cost
    a. Make sure the system doesn’t cost you a fortune, and also try to get one that doesn’t take a commission for any bookings through “their” website.

    That sounds like an awful lot doesn’t it?
    Already shaking in your knees about cost?
    Well, it’s cheaper than you think these days!
    That is the wonderful world of the Internet.

    Because of the way the Internet works, companies can create and provide a software system “over the internet”, where you don’t actually need to “buy” the software and install it. This is often called Software-As-a-Service (SAS or SaaS sometimes).
    What you buy is the right to “use” the software, and all you need is a computer connected to the Internet with a browser. The browser becomes the “program”.

    This allows software providers the ability to distribute the cost over all the clients, and no longer have the overheads of packaging, updating, postage, etc. It also saves our green planets resources, as instead of each company needing to buy PC’s to run the software on, often hundreds of clients can be run on several powerful computers.

    So what solutions are there?

    a. The WebReserv system sends a notification about when a new booking is made. It also of course sends out pending, confirmed and cancelled emails at a click of the mouse to the client – NOTE: These can even be customized to exactly what you want .
    9. Easy to use

    Comparing payment options: Credit cards, PayPal and Checks/Cash

    With online bookings you have several different methods for receiving payments from your customers. Which method applies to you depends on several factors, including the volume of bookings and the value of each booking.

    Credit cards

    Many businesses require a credit card to reserve a product or service. The reason is simple; credit cards allow the business to receive the payment right away. In most cases, the booking process is automated and will not even allow a booking to take place unless the customer provides a valid credit card.

Many banks provide this service, but specialized merchant account providers (also called ISO’s) may offer better terms and are typically more familiar with online payments and credit card terminals.

    The one drawback with credit card payments is the cost. It is common to pay €25-€50 per month just for having the merchant account, whether you use it or not. In addition to the monthly fee for the merchant account, you may be paying a transaction fee for each transaction (some providers allow up to a certain number of transaction per month included in the flat rate.). The transaction fee may either be a percentage of the amount or a percentage of the amount plus a fixed fee per transaction, typically €0.20-€0.40.

    The transaction percentage, often called the discount rate, depends on the merchant account provider, your industry and your sales volume among other factors. It is common to have transaction fees around 2.5% – 3.5% of the total sale.

    It can be worthwhile to shop around between different merchant account providers to find the best option (low transaction cost and monthly fee). However, bear in mind that you also want to use a merchant account provider or bank that understands your business and online transactions. You also want to make sure that your merchant account is compatible with your online booking system.

    PayPal

    PayPal was invented to create a method for people and business to transfer funds electronically without having to go through the hassle and cost of creating a merchant account. It quickly became the preferred payment mechanism for companies like eBay. Although PayPal has gained some traction outside of eBay, it is still more common for most business to accept credit card transactions over PayPal transactions.

    In order to accept PayPal transactions, you have to create a PayPal account. It’s free and can be done in just a few minutes. With PayPal you can accept payments from other PayPal users. You can also upgrade to a business account and accept credit card payments from non-PayPal users. In this case, PayPal essentially becomes the merchant account for you.

    PayPal charges a small fee for PayPal-to-PayPal account transfers and a larger fee for credit card payments through PayPal. For business with high volume of credit card transactions, it is worth comparing Merchant Account and PayPal rates.

    There are some drawbacks of PayPal compared to credit card payments. Most importantly, PayPal payments go to a PayPal account and you will have to transfer the funds to your own bank account. While the funds are transferred around the PayPal system, and until the funds are transferred to your bank account, PayPal earns the interest, you don’t.

    Important Note: With PayPal you don’t have a credit card on file. This is an issue in cases where the business needs to charge outstanding deposits to the same card. With a credit card/merchant account, you can charge the balance due, but with PayPal you’ll have to ask the customer to initiate the funds transfer.

    Checks/Cash

    The use of checks (or cash) for deposit payment is declining for many businesses. There are two reasons for this; the use of checks delay the payment processing and introduces manual labor in the process. First you have to wait for the check to arrive in the mail. Secondly, you have to bring the check to the bank and sometimes you have to wait for the check to clear depending on the amount and the state in which the check is drawn.

    In total, you should expect 10-15 days processing time for checks. The booking must be held during this time. This is important to take into considering, especially for bookings in the near future.

    For example, say that a booking is made for your vacation rental one month from today. You receive the check in the mail and give it to the bank but unfortunately the check bounces. You cancel the booking. Now you only have 15 days left to rent out that same time that was held for this booking, and it will often be difficult to book another customer in such as short timeframe.

    Tip: You can reduce the clearing time by requiring your customers to send a cashiers check.

    Charging a deposit

    You should require an initial payment, the deposit, at the time of booking. The deposit payment is a down-payment for the service and serves to keep the customer committed to the booking. If the customer later cancels the booking, some or all of the deposit may be refunded to the customer depending on your business rules (Usually called Terms and Conditions which should be readable during the booking process, and should have a checkbox that the booking part must check, indicating they have read and accepted your Terms and Conditions).

    If there is no deposit, the customer may not show up (often called a no-show) and you have lost revenue by keeping the service or unit reserved.

    The deposit amount depends on the type of product or service, the value of the booking and the difficulty it will be for you to sell the same product or service later on if a customer decides to cancel a booking.

    Tours 100% at time of booking

    Safe payment Tips

    The following is a list of safe payment tips.

    • Never request credit card information through emails or unencrypted websites. If you need to get a credit card number from a customer, call them or ask them to call you with the credit card information.
    • When processing refunds, always refund to the credit card that was use to make the payment. Never allow refund to a different card, as it can be part of a fraud scheme using stolen credit cards.
    • Do not send cash in the mail and don’t ask your customers to send cash in the mail either. Only checks should be mailed.
    • Similar to credit card refunds, be cautious about check refunds. Do not refund a check payment until after the check has cleared. Scammers have been known to send stolen or fraudulent checks and shortly after cancel the booking and asking for a refund.
    • Always keep customer credit card information stored securely.
